Create Customs statuses to apply to artwork records.
This preference enables a value list in the Artworks section of your Artlogic database. From here you can create and edit customs statuses, which can then be selected in the Location/Shipping tab of artwork records. Artworks can then be searched for/filtered by these values.
Customs Values
Once enabled, this feature will give you a new value list for customs. From here you can create and edit statuses.
Steps
- In your database, navigate to Artworks > Value Lists > Customs Statuses
- To create a new value, click into the 'new value...' field and begin typing.
- Click out of the text field to create additional values.
- Save your updates before navigating elsewhere.
Applying Customs Statuses to Records
Once customs values have been created, they can be applied to individual or multiple artwork records as needed. This can be done from within an artwork record's 'Location/Shipping' section, or via the Update Multiple tool.
Apply a customs status to a single record
- Find the record you wish to update and open it to edit.
- Navigate to the Location/Shipping tab.
- Scroll down to the Temporary Admission/Customs Status section
- Select a customs status from the drop-down menu.
- Save the record.
Apply a customs status to multiple records
- In the Artworks section, first make sure to click on the top flag above your list, and select 'Unflag All' to clear previously flagged works.
- Flag all artworks you wish to update.
- Click on the top flag again, then select 'Find Flagged' to retrieve only your flagged works.
- From the lower action bar, select Update/Delete Multiple > Update Multiple.
- Type Customs into the search bar.
- Select 'Customs Status', then choose the required status from the drop-down menu.
- Update.
Filter by Customs Status
Once customs statuses have been created and applied to artwork records, you can use these as values to filter artwork records. Each user can add 'Customs Status' to their filter panel for quick searches.
- In the Artworks section, click into the search bar to bring the right-hand filter panel into view.
- In the filter panel, select the lower right 'Customise' option to search for a value to add.
- Select Customs Status and drag it to your preferred position in the filter list.
Search by Customs Status
- In the Artworks section, click into the search bar then select 'Advanced Search'.
- Select 'Customs Status' from the left hand drop-down field, then select the parameters of your search as required.
Export Artworks with Customs Status Data
Once applied to an artwork record, customs status data can be exported to Excel. To add this to a Custom Export, make sure to select it from the available columns in the edit screen:
