This guide will help you organise your Artlogic systems for an upcoming art fair by offering a timeline to effectively display your artworks on Private View Links, the Artlogic app, and your Artlogic Website, ensuring everything is prepared in advance.
Private View Links
These are URL links to web pages that open in your clients' browsers. You can create these from the database using your selected artworks. Use these links as sales presentations to send to clients via emails, offer emails, newsletters, or text messages.

Customise Your Private View Links and Artwork Settings

- You may also wish to include Installation Views and documents.
- Select Items to Show (such as Provenance, Literature, and Exhibitions) via these steps.
- Make sure your Artwork prices are displayed as intended for those viewing your Private View link. Click here for full guidance to set these up.
5 Days in Advance
Test your Private View Links
- Your generated Private View Link appears like this in the Private View Edit Window:
It is recommended that you check over how your Private View Links appear prior to sending them to your clients. This allows time for any necessary amendments (see steps above).
To update changes to Artwork Record information in a Private View, trigger a re-save in the edit window. Edit the Private View (e.g., add a space in a text field) to enable the blue Save button.
Artlogic App
With the Artlogic App, you can effortlessly showcase and share your artworks while at the art fair. See the following help note to get started with the Artlogic app.
1 Month - 2 Weeks in Advance
Sync Private Views to the Artlogic app
- After creating Private View Links, you can send them to the Artlogic app as Custom Private Views to access on your iOS device at the fair. Follow these steps: Syncing Custom Private Views.
- Automatic Artist Private Views are created in your Database' App Settings, and create Private Views on your app automatically, based on the artist. See guidance to create and sync these to the app here: Syncing Automatic Artist Private Views.

2 Weeks in Advance
It's strongly recommended that you review the Private Views that will be used and displayed at the fair in advance, allowing you some time to make any necessary changes. It's also a good idea to consider scenarios like accessing Artwork prices and artwork details while at the fair; and to test sharing artworks from the app ahead of time.

Test Sharing Artworks from the Artlogic app
You can test how Private Views and Artworks will look when shared with your clients using the guides below. This guidance includes tips on what to check during testing:
- Test sharing Private Views from the Artlogic app while at the fair.
- Check that the Private View link shared from the Artlogic app appears as expected - are prices showing as desired; are artwork details showing as expected?
- Test sending an Offer Email from the Artlogic app.
- Check that the Offer Email appears as expected based on the settings you have applied in the Email Offer settings screen.

Organise Private Views synced to the App (Optional)
Consider doing the following to ensure that you and your team efficiently access and use the required Private Views while at the art fair:
- Create a Custom Collection for your Private Views. Creating a new Collection for Private Views related to the fair will make them easier for the team to access.
- Optimise Artlogic app sync times by reducing the amount of content on the app. To do this you could temporarily toggle off app sharing for Automatic and Custom Private Views that won't need to be accessed while you are at the art fair.
5 Days in Advance
Prepare your team
As a final step to prepare your Artlogic app ahead of a fair, ensure that all team members can access, view, and use the app as needed:
- Each team member should make sure they can sign in to the Artlogic app on their iOS device.
- If they have trouble signing in, you should check their User Permissions are set up correctly in the database.
- If the correct User Permissions have been applied, they can also check their device using these Basic Troubleshooting Steps.

The team should also ensure that the necessary Private Views are displaying as expected on each of their devices.

If your Private Views look different on team members' devices, they can perform a Force Update to push through recent changes.

1 Month - 2 Weeks in Advance
Send your artworks to the website
To ensure you're ready for your upcoming art fair or exhibition, send your artworks to the website.
To upload artworks, follow this guide.
Hiding Artworks
To keep artworks private and use them only for records, leave the relevant section blank. You can make them public on the artist/artworks page later using the "update multiple" feature.

2 Weeks in Advance
Feature Your Art Fair on the Homepage
To showcase your art fair on your homepage, you have two options:

Exhibition Settings: Add the exhibition directly through the exhibition settings.

Header Slideshow: Add an image to the header slideshow and link it to your art fair/ exhibitions pages.
5 Days in Advance
- Ensure that everyone is able to sign in to the website. To add new users, check your subscription plan's user limit and pricing for extra users. Contact support@artlogic.net to purchase additional users.
- Publish your art fair/exhibition record
- Ensure your works are appearing as expected (showing correct pricing)
- Are your contact details correct?
