This guide will help with any unanswered questions you may have surrounding the Artlogic App.

Q: If I do not have WiFi when using the app, can I still send an offer email?
A: You will still be able to draft an email and press send, but it will remain in your Mail app outbox until you regain network or Wifi access. You can also save the email as a draft and send it through your Mail app at a later date.
If you are using the Sales Pipeline feature please keep in mind that if the email is left in draft mode and sent at a later date, this will not automatically create an offer log in the Sales Pipeline. An offer log will only be created if the email is sent directly through the Artlogic App.
Q: How can I view multiple images on the app?
A: Clicking the Images button at the bottom right of an artwork record will open a page with all its secondary images.
Please keep in mind that you will need to have the applicable setting enabled in the artwork record on the database for additional images to appear. You can read more about this here.
Q: Is there a quick way to return to the main collections menu when looking at an artwork?
A: Absolutely! When you are within a collection or looking at an artwork detail page, clicking the Artlogic logo on the top of the page will bring you back to the main collections menu.
Q: Why won't my video play in the Artlogic app?
A: As your Artlogic app is designed to work offline as well as online, storing videos on the app is not possible due to the storage space it would require. However, there are a few workarounds available:
How to include hyperlinks to your video in artwork records:
Though you are unable to play the video directly in your app, you are able to do a couple of things to include URLs in artwork records shared to your Artlogic app.
- Include the URL in the artwork description/commentary field of an artwork record. This won't, however, be included as a hyperlink.
- Or, place a URL within a document (such as in the artist's CV or Bio). This can be made through the Artist record. It will come through as a hyperlink when the doc is opened in the app.
How to include hyperlinks to your video in custom Private Views:
- Type text into either the top or bottom text fields in the Private View edit window.
- Highlight the text and select the hyperlink icon to paste the link to your video
- Click save.
Q: Why am I not able to access the Artlogic app?
A: If you are not an admin on your account, you will need to make sure that your user permissions are correctly set up before attempting to log in to the app. Your admin will be able to make these changes by following these steps:
- Log in to the system and navigate to Other > Admin > Users
- Find your chosen user and click the 'pencil edit' icon and go to the 'Permissions' tab.
If the user is already in a specific group you can choose to edit this group, or you can choose to create a new user permission group altogether. Select either 'Edit Permissions' or 'Create new permission group' and scroll down.
When you scroll down to the Private Views section you will find three options available to you:
- Permit users to access the Private View synchronisation options and manage collections: this will allow the user to make changes to the iPad/iPhone synchronization settings. This is typically something that only administrators have access to.
- Permit this user to update an artwork's availability from the Private Views app: users who do not have this permission set will only be able to update the availability of artworks that have been added directly to privateviews.com
- Permit this user to login to the Artlogic App: this allows the user to use their database login credentials to access the app.
Once all of the necessary changes have been made to the user record, please make sure that you save the user permission group and the user itself.
Q: How can I force an update in the Artlogic app?
- From the Artlogic app home screen, click the three lines in the top left corner.
- Hold down the word Updates until the Updates pop-up window appears.
- Click Options in the bottom right corner.
- Force update all.
Q: How can I show the grid count on cover images?
A: This option allows you to see the number of Private Views included in a collection, or the number of artworks included in a Private View.
To enable this option, go to your Artlogic app and click Settings > Appearance. Then toggle on Show count on grid cover images.
Q: How can I filter and sort search results in the Artlogic app?
A: The filter results feature allows you to search for Artwork records synced to the app by specific fields, as well as sort the yielded results.
How to filter searches:
- In your Artlogic app, click the Search icon in the top right-hand corner.
- Click the Filter icon that appears in the search bar.
- Select from the list the Field(s) you wish to search by. You can search by multiple fields at once.
These are:
- Artist
- Artwork Type
- Availability
- Dimensions
- Edition Type
- Genre
- Location
- Medium
- Period
- Price
- Year - Choose your filter parameters for these fields in the following window > Show Results.
- To reset your filters and begin a new search, click Reset in the top right-hand corner.
How to sort searches:
- Once you have conducted a search or actioned a filter, click the Sort icon in the search bar.
- Select which parameter you wish to sort by. These are:
- Title (A-Z)
- Price
- Date Created
- Date Modified - Select the Order by which you would like to sort your search results (Ascending or Descending).
- Click Show Results.
How to share these artworks:
- Once you have conducted a search or actioned a filter, click the ... icon in the top right-hand corner of the Search panel.
- Select Enter Select Mode.
- Select the required results from your search.
- Click off the search panel, and you will notice that the number of artworks selected will show at the bottom of the screen.
- Click the Share button in the bottom right-hand corner to send these records to another application, or send an Offer Email. You can find out more about sharing artworks in the Artlogic app here.
Q: Can I change the Status & Availability of an artwork record directly from the app?
A: Yes. Please see the steps below for how to enable this in your app:
- From your Management Platform, navigate to Other > Admin > Preferences > Core Preferences.
- Under the Private Views Tab, scroll to the bottom and select which availabilities you would like accessible to toggle in the app (under INSTANT UPDATE ENABLED AVAILABILITES). We would suggest toggling them all on, as these will directly correlate with your artwork inventory:
- Click Save.
- Head to your Artlogic app where you can test this function. In a Private View or Artwork record, click into an artwork record.
- Click the three dots in the upper right hand corner and choose Change availability:
- You should now be prompted to change the record's status and availability, including customizing any Sold to information, Reserved information, etc.
*As a note: you will also want to update your artwork visibility settings from App > View Settings > Artwork Settings and Automatic Artist Private Views. In order to show different availability statuses in the app, more statuses will need to be toggled on (see in image below):
