This guide will walk you through how to export artworks from your database to your Artsy CMS (Multiple artwork export and Single artwork export), as well as how to export artworks with secondary images.
Export tips
Things you should know before getting started
- You must have already completed the Artlogic + Artsy Integration setup.
- Artworks that you export to Artsy from the database will go through as unpublished. You will need to publish the artworks in your Artsy CMS.
- Prices will be exported excluding tax unless the works are on the margin scheme. Artworks on the margin scheme will export through with the selling price.
- The price currency will match up with the currencies on Artsy as long as the currency code is exactly the same across the two platforms.
- Once artworks are exported to your Artsy CMS, they won't be updated if you make further changes to an artwork record in your database. You will need to log in to your Artsy CMS to make further changes.
Exporting multiple artworks or a single artwork
Follow the below guides to walk you through exporting artworks in bulk or individually to Artsy.
Multiple artwork export
- To export artworks in bulk to the Artsy CMS, go to your Artworks page, flag and find all the artworks you want to export.
- Click ‘Export to Artsy’ at the bottom.
- The database will be able to detect if any of the artists for the artworks have not been connected. If so, at the top of the export screen, it will ask you to ‘connect artists’ first.
- Add the artists to Artsy or follow the steps to connect.
- The system will also be able to detect if some of the artworks you are trying to export have already been exported to Artsy. Those artworks will be automatically omitted from the export screen.
- After you have completed connecting the artists, click ‘cancel’ to come back to the artwork export screen.
- You will be able to review and edit all the artwork information you are about to export to Artsy.
- Clicking ‘show all fields’ will reveal all the additional fields that are being exported to Artsy.
- Editing the artworks here will not affect the Artlogic artwork record itself.
- After reviewing the data, click ‘export these XX records (Page X of X)’. The database will let you know if the export has been successful.
Single artwork export
To export one artwork to Artsy, click the artwork record's 'pencil edit' icon and go to the ‘Artsy’ tab. Your ‘Artsy’ tab may be hidden in the ‘More’ button to the right.
- Click ‘add this artwork to Artsy’.
- If this artwork belongs to an artist that you haven’t added to Artsy, the database will ask you to ‘add the associated artist to Artsy’.
- Artsy will search for associated artists on their platform based on the artist's name. Select the correct one and then click on ‘connect’. If you cannot find the correct artist on Artsy, you can ‘create a new one’. Once you have connected or added the artist to Artsy, click ‘add this artwork to Artsy’.
- If this artwork belongs to an artist that you haven’t added to Artsy, the database will ask you to ‘add the associated artist to Artsy’.
- The database will pull through all the relevant fields for your Artsy CMS. Review and edit the fields to make sure all the information is correct before exporting. Editing the artworks here will not affect your Artlogic database artwork record.
- Scroll down to 'Create on Artsy and connect'.
- When the artwork has been exported successfully, you will see the basic artwork details showing within the ‘Artsy’ tab.
- Remember, artworks exported to Artsy will go through as unpublished. You must then publish them in your Artsy CMS.
How to create an edition set
When exporting an Edition Data Record to Artsy, you have the option to create an edition set. This will automatically fill out the edition set details on the Artsy CMS using the information from the edition records linked to the Edition Data Record.

Exporting secondary images
Before exporting artworks with secondary images to Artsy, please make sure that you first enable the preference ‘include all images when publishing Private Views, exporting to Artsy and creating reports’ under the artwork record's ‘image’ tab.
When exporting an individual artwork to Artsy, select your secondary images at the bottom of the export edit screen by ticking the box ‘Upload to Artsy’.
When exporting multiple artworks to Artsy, the records with secondary images and with this option ticked will automatically be exported with their secondary images.
Find artworks exported to Artsy
Artworks > Views > Shared to Artsy
Whether you have exported a single artwork or multiple artworks, you should find all artworks exported by going to Artworks > Views > Shared to Artsy.
