How to customise artwork prices and labels sent from the database to the PrivateViews app and links.
Price Overrides give you the option to customise the display price of an item when presenting them in both PrivateViews links and the app. This can be helpful when curating a particular offer for a client. There are various settings that determine which price an artwork record will be shown in either a PrivateViews link or the app. The steps below outline this approach.
1. Override display price
Firstly, a Display price override can be added in an artwork record's financial tab. This will overrule any other overrides applied elsewhere.
To set an override display price:
Open your artwork record > head to the Financial tab > tick Price Overrides > enter a Custom display price (excluding and/or including tax)
An artwork record with custom display prices added to the ex. tax/inc. tax fields will never show the automatic price labels pulled from an artwork's retail price, nor any custom labels added from the PrivateViews edit screen.
Example
The below example shows that, although the automatic price label has been selected in the PrivateView edit screen, the artwork price label is set to the Custom Display Price (inc. tax) of £3,000,000.00, and not the automatic display (retail) price of £1,633,125.00 (inc. tax):
Similarly, the artwork will not display any custom label set within the PrivateViews edit screen:
2. Override display price label
The Override display price label offers an alternative option to override price displays from within an artwork record. This displays additional custom text after the automatic price of a work, e.g. 'Enquire'.
The custom text can be pulled through to a PrivateViews link by selecting automatic price labels from the PrivateViews edit screen:
The custom text can be removed from showing within the PrivateViews link, by selecting none:
The custom text label can also be re-written from within the PrivateViews edit screen, by selecting custom and then adding alternative text to the custom label field:
3. Prices in the PrivateViews app
Once a custom display price or an override display price label is applied to an artwork record, this update will override the default text displayed after the price in the PrivateViews app (as well as reports, labels, offers, etc.)
This is noted in the information box besides the price override fields:
4. Tax status labels
Tax Statuses can be set up in Accounts > Value Lists > Tax Statuses:
Once a tax status has been created, further details such as default text for price labels can be added by clicking on the edit icon:
Once a tax status is applied to an artwork, the tax status label will show as part of the artwork's display price:
This will also appear as the automatic price label within a PrivateView link:
The tax status label will also feed through to the PrivateViews app.
The app feed will default to using ex tax or inc tax labels according to the preferences set in the PrivateViews settings.
These settings can be updated by navigating to Artworks > PrivateViews > iPad/iPhone synchronisation:
