If you are attempting to send a marketing email and see 0 contacts on your mailing list, or if specific contacts are missing from your recipient count, it is likely due to their Mailing Settings or missing data in their record. Use this guide to understand how Artlogic identifies valid recipients and how to update your records in bulk.
Who can receive emails?
A Contact will only be included in a mailing campaign recipient list if they meet the following criteria:
- They must have an email address populated in the Email (for Mailings) field.
- The relevant Mailing Settings must be ticked in their record - these are not applied to your Contact records automatically.
Other Settings
Any of the following settings in the record's Contact tab will additionally remove Contacts from your active Mailing List:
- Deceased
- Do Not Contact
- Never add this person to email list
The contact also must not have Unsubscribed from your Mailings (this automatically unticks their mailing settings).
How do I know if a contact is on the mailing list?
Check if an individual record is on the mailing list
When a contact is set to receive mailing campaigns from you, this tag will display for their Contact record in both their Preview pane as well as the Contact edit screen:
'Emailing list' views
Artlogic additionally uses two Contacts views to help you manage your audience for Marketing emails.
Navigating to Contacts > Views will show you:
- Emailing List (Active): The number of Contacts from your 'Total' list who are actually able to receive emails (i.e., they have a valid email address and 'Other Settings' do not prohibit them from receiving correspondence). You can use this view to review all Contacts who are currently able to receive your mailings.
- Emailing List (Total): The total number of records that have the "Newsletters" setting enabled in their Mailing Settings. You can use this view to check how many Contacts are going towards your Mailing List Limit.
Add contacts to the mailing list in bulk
If you are seeing fewer recipients than expected when sending a mailing campaign, you can use the Update Multiple tool to update Contact's Mailing Settings in bulk:
- Go to Contacts.
- Filter or flag the contacts you wish to update.
- At the bottom of the screen, select Update/Delete Multiple > Update Multiple > update the Found or Flagged Set.
- Click into Mailing Lists > Mailing List Settings.
- Tick Newsletters and Subscribe to Newsletters, then click Update.
Plan limits
If you see a warning message when performing this update, it means the number of records will exceed the Mailing List limit on your current Marketing Module plan.
