How to show and sell multiple sizes of an artwork
Whether you have an integrated or standalone Artlogic website, it is possible to give visitors to the site an option to buy a product in varying sizes. This guide explains the steps to take depending on your Artlogic plan.
Integrated website (beta)
For clients that have an Artlogic database integrated with their Website CMS
Steps
Offering different sizes of a product on your website involves "grouping" Edition Data Records in your database together. This will only work with Edition Data Records as these are the only items that can be offered with different sizes/details are prints and/or editions.
How prints and editions are managed in Artlogic
A. Setup Edition Data Records
- Log into your Artlogic database > Artworks.
- Find the Edition Data Record that you wish to offer with multiple sizes.
- Click the record's 'pencil edit' icon to open its edit screen.
- Select ‘Duplicate’ in the action bar at the bottom.
- Then, select one of the duplicate options and enter the number of additional Edition Data Records you’d like to create. These duplicated Edition Data Records will become the different sizes of the same item.

- Open each of your newly created Edition Data Records to edit their details.
Enter new data into the applicable fields, for example:
i. New dimensions.
ii. New retail prices. - In each newly created Edition Data Record, create your edition records, depending on the quantity of stock you have of this size.
- For these records to be shared to your website as available for sale, make sure that at least one of the edition records has a retail prices and a status & availability that allows it to be sold online.
- Now, go to each Edition Data Records (the original and duplicates) > open their ’Website’ tab > scroll to Online sales and pricing > choose a 'Price display' and enable 'Online sales' for either:
a) all eligible edition records, or
b) for selected edition records.
B. Grouping your Edition Data Records
- Now that you've set up each of your Edition Data Records for the item you are offering with different sizes and their edition records, the next step is to group them together so they appear as the same item on your website. To do this, first, return to the main Artworks list screen.
- Click once on one of your chosen Edition Data Records to make the Preview Pane appear.
- Select ‘Edition Group’ and then ‘Add/Remove’:
- Search for the other Edition Data Records that you’d like to group along with the one you’ve selected and press 'OK' to confirm your choice. You are able to search by stock number, title or artist name.
Please note: you may have to add each different other Edition Data Records that you'd like to group separately, one after another.
C. Editing the details of your Edition group
- When you have added all Edition Data Records to an Edition group, select ‘Edit details’ in the Preview Pane.
- To override any of the Edition Data Records' information that will display online, make edits to the 'Details' fields. This is not necessary, but can be useful.
- The ‘Images’ tab allows you to load specific images to the website, which could indicate the different scale of each image or the framing options you might offer. This is not necessary, but can be useful.
- To set these records to display as a group on your website, go the 'Share' tab. Generally speaking this is the most important tab. It is likely you'll want to select all options listed here:
i. Make available to website allows these records to display on the site.
ii. Group on artworks pages (Artist Works and Artworks) specifies that this grouped record should display on both the artist’s own page and the general /artworks page.
iii. Group in the online shop specifies that this grouped record should display on your online store.
iv. Show secondary images for this artwork allows your additional images to display on your site.
- Click 'Save' to confirm.
Please allow at least 30 minutes for the website to update.
Standalone website
For clients that have an Artlogic website only.
Steps
- Log into your website CMS.
- Go to Records > Artworks > All artworks.
- Create a new record or open an existing record that you'd like to offer multiple size formats.
- Once who have completed its price and availability settings, enabled the online sales for this record, and completed the dimensions, scroll down to Multiple formats of this artwork.
- Here, enter the various formats of the record.
Enter a name, dimension, price, quantity available, any additional info, whether it's for sale, its weight, and a sale price if different from its price.
- When you're happy with your format options, click 'Save' and 'View page' to see the result (you may need to clear your browser's cache to see this change).
- Use this table if there are more than one format of this artwork for sale in the store.
- You must enter details such as such as price, quantity available and discounts for each individual format that you intend to display.
- It is extremely important to enter a 'Format' for each item. This is what the shopping cart uses to recognise it.
- Any weights left blank will revert to the default shipping weight.
