Select, view, and update Artwork and Contact records in your Artlogic Database
This guide will help you understand the flagging function in your Database, allowing you to select, view, and update Contact and Artwork records with ease.
Flagging your records
Flag individual records
To individually flag a record in Artworks or Contacts view, simply click the flag icon that appears next to it on the right-hand side.
Drag and flag
Flag multiple records quickly by clicking and dragging down through the list of records.
Flag icon
If the flag icon at the top-right of the page is blue, it indicates that records are currently flagged (selected) in your database.
Find flagged
To find records that have been flagged previously:
- Click the blue flag icon at the top-right of the page
- Click Find Flagged in the drop-down menu
Unflag all
Clear the current selection in the database to begin flagging a new set of records.
- Click the blue flag icon at the top-right of the page
- Click Unflag all in the drop-down menu
- Select OK to proceed
Add to flagged
Flag all records that appear in your current view.
- Locate the records you wish to flag (e.g. by conducting a search or using the Filter Results panel)
- Click the flag icon at the top-right of the page
- Click Add to flagged
Find unflagged
Find all records that are currently unflagged.
- Click the blue flag icon at the top-right of the page
- Click Find unflagged in the drop-down menu
Using your selection
Once you have flagged your desired records, you can use them to perform the following actions in the database - click the links for further details.
Artwork records
- Create Documents and Reports
- Create Labels
- Create a Private View
- Export the Artwork Records into an Excel spreadsheet
- Sell these artworks
- Offer these artworks - (Sell/Offer/Share > Offer these artworks)
- Email these artworks
- Update Multiple / Delete Multiple
Contact records
- Create Documents - Letters, Address and Telephone Lists, Envelopes, Advanced Reports (Create... > Documents)
- Create Labels
- Export the Contact Records
- Update Multiple/Delete Multiple
- Record an Offer - (Send Emails/Offers > Record an Offer)
- Send a Personalised/Offer Email
- Send a Mailing Campaign
Advanced options
Replace flagged
If you wish to flag a set of records and notice that the flag icon is blue (indicating that records are already flagged), use this advanced option to replace the currently-flagged records with this set.
- Click the blue flag icon at the top-right of the page
- Click into Advanced options... in the dropdown menu
- Click Replace flagged
- Click 'OK' to proceed
Subtract from flagged
If you wish to remove a set of records that are currently flagged, use this advanced option to remove only these from your selection.
- Click the blue flag icon at the top-right of the page
- Click into Advanced options... in the dropdown menu
- Click Subtract from flagged
