How do I use the contacts import tool?
The Artlogic import tool is designed for the quick and easy transfer of data from an excel spreadsheet into your Artlogic database. Follow the steps in this guide to help you import your contacts.
Go to Contacts > Tools > Import
The wizard that opens will guide you through the initial steps, before taking you to an edit screen where you can complete the import.
Click 'Help' to begin.
Your spreadsheet
Either by 1. downloading the template linked in the wizard or 2. referencing the fieldnames listed below, populate the first row of an excel spreadsheet with the fields you'd like to import, making sure that spelling and capitalisation are correct.

Filling your spreadsheet
Use the guide
If you are using the excel template, you may delete any columns that you don't need to fill.
Alternatively, if you already have an excel spreadsheet with data to be imported, it is not necessary to download the template (although it may be useful to look at for reference) as a full list of column names can be found on the import tool wizard.
From the second row onwards in your spreadsheet - under your selected column headings - insert each record as a row of data in your spreadsheet.
Some of the fields require a specific configuration to import correctly. The import manual in your guide outlines in detail how each field should be entered.

Addresses
In the import template, we have included fields for four addresses per contact. These are split into the main address, shipping address, and two further additional addresses. Should you need to import more than four addresses per contact, you can use the extra field 'additional addresses' where you will be able to input further addresses. Please note that the 'additional addresses' is a simpler field that allows you to maximise the amount of addresses you want to input. It will not separate the addresses into their separate component fields (postcode, country etc), so there may be some reformatting you'll need to do within the database if you wish to use these extra addresses for invoicing or other functions.
Drop-down fields
For fields in Artlogic that use a drop-down of options (e.g. 'Categories' and 'Interests'), it is essential that the values entered match the case and spelling of the options in Artlogic exactly. Use these formatting styles for fields that have multiple options:

Each spreadsheet can hold up to 200 contact records per import.
After uploading your spreadsheet
After uploading your document here, you will be redirected to a new window where you can upload images, amend column headings, check for duplicates, and import.
Checking for duplicates
We recommend avoiding uploading duplicate contact entries as this can lead to messy data, particularly when linking contact records to other parts of the system, such as invoices. The import tool has a built-in check for duplicates that checks based on first name and last name and by email address. If these are flagged during the import process we recommend clicking 'view duplicates' and resolving them manually before completing the import.
You can also sort out any existing duplicates in the system using the resolve duplicates tool.
