Edit the 'Sort as' rule
Steps
- Log into your Artlogic Database.
- In the Artists section, search for your artist.
- Open your Artist record.
- Edit the Sort as field as follows:
For larger groups of artworks, you can use the update multiple functionality to adjust your 'sort as' fields.
Artists with longer names
If an artist has a multi-word last name, the system will only recognise the last word in the string as the ‘surname’ of the artist, unless you determine otherwise in the 'Sort as' field.

- Vincent Willem van Gogh
- Gogh, Vincent Willem van (system default)
- van Gogh, Vincent Willem (here the ‘sort’ rule has been defined by you)
What can 'Sort as' effect?
It is how the database understands how to group and organise works by your artists. This field can effect not only your Artlogic Database, but also your Artlogic website and your PrivateViews app.
Stock numbers and Sorting
If, in your Artlogic Database, you've seen that an artist's works aren't sorted correctly or that artist-specific Stock numbers aren't generating in sequence, altering your Artist sort can be a vital step to solving this issue.
PrivateViews App and Website CMS
If you’ve experienced problems with artist sorting or two folders for the same artist appearing in your PrivateViews app, or if you’ve seen two Artist Records appearing in your website CMS, this process should correct that. Please delete the empty Artist record to avoid future confusion.
