This article will guide you through some of the possible reasons why one, or a number of artists, are not showing in your PrivateViews.
Automatic PrivateViews for SELECTED artists
If you have chosen to 'Create Private Views Automatically' and to 'create automatic Private Views for SELECTED artists', make sure you have selected the artists for whom automatic Private Views should be created.
Steps
- Go to the PrivateViews settings in your database: Artworks > Privateviews > iPhone/iPad synchronisation > scroll to Create Privateviews automatically
- Select your artist/s and save these settings. This will send them through to app (assuming they have artwork records in the database).
Automatic PrivateViews for ALL artists
If you have chosen to 'Create Private Views Automatically' and to 'create automatic Private Views for ALL artists', it is important to make sure that all artworks by an artist that you want to appear in the app have a status and availability that you have enabled.
Steps
- Go to the PrivateViews settings in your database: Artworks > Privateviews > iPhone/iPad synchronisation > scroll to Create Privateviews automatically

Here, you will see that you have the option to select or deselect various types of status and availabilities to send through to the app.
For example, if you deselect all 'Sold' artworks, these will not appear in your PrivateViews app.
Why has an artwork not synced to the app?
There are a few things that you can check if you notice an artwork hasn’t synced:
Check privateviews.com
If you cannot see an artwork you have shared to the app in the app itself, check whether the artwork has synched to privateviews.com. If the artwork appears here, it is likely an issue with the device the app is on.
- Log in to privateviews.com on a computer/laptop browser, with the same username (your Artlogic account ID) and password that you use to log in to your PrivateViews app.
- Select from the main Collections menu, the Private View on which the artwork should appear.
If the artwork cannot be found here either, make sure the artwork record is connected to an Artist record.
Ensure the artwork is connected to an artist record
The quickest way to check this in your database is by opening your artwork record and if the artist selected does not have a paintbrush icon, it is not connected to an Artist record and this will be the reason it has not been shared to the app.
If you are still experiencing issues, make sure that you are keeping your database records clean and there aren't any duplicate artist records. If there are duplicated artist records, it can be fixed using the steps outlined here.
Are there any settings for the artwork records that may not meet the sharing criteria?
Check the general sharing settings in Artworks > PrivateViews > iPad/iPhone Synchronisation. to make sure the artwork you are trying to share to the app fits the criteria selected.

Is the artwork's status/availability affecting if the artwork syncs?
If you have selected 'Create PrivateViews automatically', additional options appear further down along the page related to an artwork's status and availability. Double-check the artworks' status and availability against what they have chosen to share. -
Is the artwork 'archived'?
Check this on the artwork record > Other -
Does the artwork have any overrides in the 'PrivateViews' tab?
On the artwork record, there are further opportunities to share or unshare the artwork record with PrivateViews, overriding any other less granular settings.
